Set up a weekly routine and let AI run it

The small stuff that has to happen every week, handled before you sit down.

Somewhere in your week is a task you do the same way, every time, without thinking much about it. That sameness is exactly what makes it a good first thing to hand off. Not the hardest task. The most repetitive one.

01Pick one task, not five

A status update. A summary of what came in over the weekend. A first draft of something you write on the same day every week. Whatever it is, it should already be boring to you. Boring means repeatable, and repeatable is what AI is actually good at.

02Write it down once, as a saved prompt

Turn the task into a template you can reuse instead of retyping.

A reusable weekly prompt
Every week I need [the task]. Here's what stays the same:

WHAT GOES IN
[The information or files you'll paste or attach each time.]

WHAT COMES OUT
[Format: a short summary, a draft email, a bulleted list, etc.]

TONE
[Plain and short. / Formal. / Whatever fits this task.]

Treat this as a template. I'll paste in this week's details below it.

Save it somewhere you'll actually find it again: a note, a doc, or a Project if your tool has one.

03Move up the ladder as it earns your trust

There's a real progression here, and you don't need the top rung to get value from the bottom one.

  • Rung 1, copy and paste. You paste your saved prompt in, add this week's details, done. Works with any tool, costs you thirty seconds.
  • Rung 2, live inside a Project. Put the same instructions in a Project so you stop pasting the setup every time. You just drop in what changed.
  • Rung 3, connect it to the real thing. If your tool can read your inbox, calendar, or documents directly, it can pull what it needs instead of you feeding it by hand.
  • Rung 4, put it on a schedule. Some tools can run a saved task automatically at a set time. This is the last rung, not the first, and plenty of people get real value stopping at rung 2.

⚠ Watch out for

  • Do it by hand first. You need to know what a good result looks like before you can tell whether AI's version is actually right.
  • Rung 1 done every week beats rung 4 half-built. Don't stall on automation while the manual version sits untouched.
  • Check the output for the first month. Routines drift quietly. A quick glance catches it before it becomes a habit of its own.
